Documentation and support

Page Approval & Document Sign-off for Confluence — setting approvers, deciding on a page, and reading the record.

Getting started

  1. Add the macro. Edit the page, insert the Page Approval macro, and publish the page.
  2. Set approvers. On the published page, select Set approvers. Choose up to 20 people and the rule: everyone must approve, or one approval is enough. Only people who can edit the page can do this.
  3. Approvers decide. Each approver opens the page and selects Approve, or Reject and writes why (up to 500 characters).
  4. See the status. The page shows each approver's decision, with the time and any comment, and who has not decided yet.

Who can be an approver

Anyone who can read the page. Approvers do not need edit rights. When approvers are set, the app asks Confluence whether each person can read the page, and refuses anyone who cannot, naming them, so that nobody is asked to approve a page they cannot see.

An author can approve their own page. The decision is then marked (page author), so a self-approval is visible.

Decisions and page versions

A decision applies to exactly one version of the page — its title and body in Confluence storage format, identified by a SHA-256 hash. Attachments, comments and labels are not part of the approved content.

When the page is edited, the page shows Changed since approval, with the version that was approved. Earlier decisions stay on record; approvers decide again on the new version. A person can decide only on the version they are looking at: if the page changes while they are deciding, the decision is refused and they are asked to reload.

The app does not lock the page. It cannot stop an edit; it shows one.

Changing approvers

Every change to the approvers or the rule is kept, with who made it and when, and the page shows who last set them. Decisions by people who are no longer approvers stay on record but are not counted.

What is waiting for me

Open Page Approval from the Apps menu in Confluence:

Each list shows only pages you are allowed to read. The app does not send email or notifications — tell approvers where to look.

Checking the record

Every decision carries the hash of the decision before it on the same page. A page whose record has a decision missing or altered is marked Record has problems, and the CSV export writes the problem into the file. The check detects a change; it does not prevent one. Treat a reported problem as something to investigate before relying on the record.

Exports

The CSV files carry names, account IDs, decisions, comments, times, versions and hashes. A cell that would start with =, +, - or @ is written so that Excel shows it as text instead of running it as a formula.
